Library Admin Guide

The Library Administration tool (referred to as LibAdmin) is a tool that connects a book in a collection in Alma to a shelf location in MazeMap. Alma is a Library Service Platform, used by all universities in Norway and in other parts of the world.

The illustration bellow shows an overview of the technical solution from the slides.

You can find the Lib Admin page here. You will need to login with your usual MazeMap user. As admin user you will get up all the libraries we have using the tool. However, a customer will only see the libraries that are connected to their campus. As for now, the Lib Admin interface is only in Norwegian and English.

How it works for the user

The user goes into Oria (Oria is the name that the BIBSYS consortium use for their implementation of Primo). Primo is a Discovery tool facing the end user) for example from this entrance, and they search for a book in Oria. When they have found the book they want and the book is available in the library, the can press the button Locate as shown here:

When clicking on Locate a new tab opens in the browser and they will be directed to MazeMap and the shelf they need to go to to find the book.

 

How to link the collections to a shelf

Before this setup works the Primo System Admin at the library needs to do some configuration. You need to configure the template for the location map link. ExLibris explains how this can be done for Primo here. You need to add this in the URL template:

NB: We are working on including more formats to accommodate a variety of systems.

 

When this is done the Locate button will work if the connection is done in Lib Admin. This is done by doing the following:

Go to LibAdmin and create the libraries at your campus by clicking on the + button.

Please select a campus from the dropdown menu. This should be the campus, where the library is located in. A title (e.g. library name) must be added in the field below. The title will always be highlighting your library, when logging in to LibAdmin. In addition, we recommend you add the "Customer library code" to make collections unique for your library.

After clicking on “Save Library”, your library was successfully added to LibAdmin.

 

Click then on one of the libraries that you have created and you will get the possibility to create collections. Add the name of the collection, the location code in Alma and the sorting system the collection is using.

The Location Code is found in the URL that you get up when you hold your mouse over the location button. An explanation for how to find it in the BIBSYS consortium is available in the user interface when you click on the question mark.

NB: This might be different for different implementations of Alma and Primo.


The sorting systems MazeMap support in the current version of Lib Admin is the following:

 

HIDDEN COLLECTION – It is possible to hide a collection in MazeMap. They may be rare books, manuscripts, photographs, letters, diaries or any special collection that has not been included for the usual sorting of collections.

This means that the link will not be shown to the end user, but the librarians can get the location in Lib Admin.

 

After a collection is created it is possible to link this collection to shelves. This is done by clicking on the collection and then the + button. You will get a pop up and can create the title of the shelf, the sorting start and the sorting end. The sorting start end will be validated against the sorting system you are using for this collection.

When you have created the shelf you will get information about this shelf:

 

In MazeMap we use a link tag to identify and link a collection to a shelf POI. It is the shelf’s unique identifier.

When a student it searching for a book MazeMap will check what shelf the book is in and then send the student using this link to the POI in MazeMap. It is therefore important that we add the link tag in MazeMap. If we don't do that the Locate button in Primo will not work.

In Lib Admin we generate a link tag based on the name of the shelf and the library collection. This link tag needs to be copied into the Map Editor in MazeMap. To do this, log into admin.mazemap.com and choose Point of Interest in the menu:

Copy the MazeMap tag in the LibAdmin and paste it in the Manual override. The value is saved when you press Enter on your keyboard. However do remember to go to Run update and press Start Publish Process to make sure that the changes are pushed to production.



 

It is possible to test and see if the shelf link is functioning in Lib Admin by selecting the MazeMap POI in the top menu.

 

ADDITIONAL PROCEDURE ON THE CUSTOMER’S SIDE (LibAdmin superusers)

Plan your Library Collections

A big part of the work for this integration is about planning and plotting. 

Customers usually start their process by plotting all their shelves in the map first.

Earlier versions of the LibAdmin required customers to do all the data/information input in the LibAdmin interface first and then connecting them to the shelves (POIs) by filling in the link tag (Current tag and Manual Override) in the Map Editor tool. 

The latest version, allows more flexibility. You can go back and forth the LibAdmin interface and the Map Editor POI tool to make sure all the relevant information matches with each other.

 We encourage the customers to do what suits their internal process and resource availability best.

 

PLAN YOUR SHELVES vis-à-vis COLLECTION DATA

Whatever step you prefer to start your process, it is strongly advised to have your collection information in a spreadsheet (if you do not have it already) so the integration will go efficiently.

A sample spreadsheet could look like this:

 

PLOT YOUR SHELVES

It is recommended that shelves that are permanent/semi-permanent be drawn in the CAD file of the floor, and those that are movable in an instant be drawn in the POI tool of the Map Editor.

But if for some reason, drawing in the CAD file is not possible, it is also okay to have it drawn in the POI tool.

 

CREATE YOUR POI CATEGORY

At this point, you can create the POI type/category specific for library shelves for easy management and maintenance later on.  Let’s use “Library Shelves” as an example:

Click Enter, then Run Update.

Now, you are ready to create your shelves.

 You can create a POI (either ordinary polygon or grid of POIs)

Make the necessary adjustments – size, location, orientation and give it a unique ID.

When the drawing is fine, you can click “Create grid of POIs”

Now, you can see the information by the right-side bar and see the POI’s characteristics.  You can tag your shelf as “Library shelves” type and/or color the POIs or visually define the entire library area.

 

Scroll down to reach the Linkable tag, if you already have your Collection spreadsheet ready, then you can start putting in the unique tag in the “Manual Override” field. If the tag is not available yet, then set this aside and go back to it later.

 

Highlight important information in a panel like this one. To edit this panel’s color or style, select one of the options in the menu below

 

Do not forget to click Run Update, then click “Start Publish Process” to push changes to production.

 

TO TEST CONNECTION (Final Check)

It is possible to test and see if the shelf link is connected in LibAdmin by selecting the MazeMap POI in the top menu. To be connected means that the collection is connected to the shelf and that all the books connected to the said shelf can be located in LibAdmin.

If you see that the shelf is disconnected to the Collection, you can connect them right at the LibAdmin interface
